MCI Suisse SA has reserved a large number of hotel rooms in various hotels in different price categories. Hotels are either connected, or located within 10-15 minutes to the Meeting Venue. Kuala Lumpur attracts many tourists, therefore please book before October 12, 2012 in order to guarantee your booking.

How to reserve accommodation:

  • Hotel reservations can be made as part of the online Meeting registration process.
  • Below, see the rates and further information regarding our official selected hotels. As a service for individual participants, MCI Suisse SA is arranging the hotel accommodation at no extra charge (no handling fee).

All rates are in USD per room, per night, and include Breakfast, 6% government tax and 10% service charge. The rate of exchange between the Malaysian Ringgit (MYR) and United States Dollar (USD) was set in December 2011. Exchange rates can fluctuate substantially and as such any significant variation of the exchange rate may lead to a retroactive increase in the specific hotel rate as expressed in USD.

Rates apply for standard room; other room types like deluxe room, junior suite, suite, etc. are available upon request.

The Kuala Lumpur Convention Centre (Meeting Venue) is located in the city centre, 50 minutes away by taxi from Lapangan Terbang Antarabangsa Airport.

Reservations are made on a first-come, first-served basis and are only confirmed once MCI Suisse SA, the Official Housing Bureau, has received the payment covering the full stay.
Names of people sharing rooms must be indicated.

Reservation and Payments

To guarantee your reservation a payment covering the full stay is required. Additional expenses such as mini-bar and telephone must be paid directly to the hotel when checking out.

Change and Cancellation of Hotel Booking

  • All changes to hotel reservations will be handled by MCI Suisse SA. Please do not contact the hotel directly. A handling fee of USD 55 per hotel room will be charged for every hotel modification received after October 12, 2012.
  • All cancellations must be sent to MCI in writing (fax, letter, or e-mail).
  • For cancellations received before October 12, 2012 deposits will be refunded less USD 100 for administrative costs. After this date, no refund will be possible.
  • In case of late cancellations (after October 12, 2012), rooms cancelled, cancelled nights or no-show, we reserve the right to charge the full stay if the hotel room cannot be re-sold.

Check-in/Check-out Time

Hotel check-in time is 15:00. If arriving after 18:00, please notify MCI Suisse SA in advance.
Check-out time is until 11:00. Extra costs apply for late check-out.

Payment of registration, hotel and excursions must accompany the form (on-line or paper version) and may be made by:

Please indicate the following information on your payment in order for your payment to be identified and traced correctly to your registration account:

All costs have to be borne by the ordering customer and "free of charge for the receiver account"

When using a bank transfer, your request for a hotel room will be held for a maximum of 10 working days, provided that proof that the bank transfer has been requested with your bank accompanies the reservation. The Official Housing Bureau (MCI Suisse SA) reserves the right to cancel the pre-reservation, in case the payment by bank transfer for the hotel deposit is not received in their account within the given 10 working days.
Payment by personal checks cannot be accepted.

All payments have to be made in American Dollars (USD).

From November 1, 2012 only payment by credit card will be accepted.


A confirmation letter and a hotel voucher will be sent instantly by e-mail upon receipt of your online registration form fully paid. Please ensure presenting your voucher at the hotel upon your arrival to speed-up the check-in process.

Group reservations

Reservations for a minimum of 10 rooms will be handled by separate contracts and regulations. Please contact MCI Suisse SA at

Low-budget accommodation

No pre-bookings are possible through the Official Housing Bureau for modestly priced hotels, hostels, pensions, bed & breakfast, youth hostels, camps and/or apartments.

Liability and Insurance

The Meeting Organizer (IOF), the Meeting Venue (Kuala Lumpur Convention Centre), its official appointed Registration & Housing Bureau (MCI Suisse SA) and Exhibition/Sponsorship Agency (MCI Group Asia-Pacific Pte. Ltd.) and any suppliers, representatives or agents linked to the organization of the Meeting shall not be held liable by any person for any injury, damage, theft, loss, medical problem or inconvenience which may be suffered by any person while traveling to or from, or during such person’s presence in Kuala Lumpur in connection with this Meeting. Participants and their guests are advised to purchase their own insurance against any such occurrences.

Force Majeure

MCI Suisse SA and the Hotel are not responsible for either the partial or total non-execution of the contract in the event of accident, an act caused by a third party, or in case of major force such as: special measures taken by the government or local authorities, total or partial strike, lockout, fire, threats to public safety including terrorism, war, health hazards, natural disasters, flood, or some other comparable events or disaster which prevents the Hotel from accommodating the clients of MCI Suisse SA for the event or if for the same reasons the event is cancelled by MCI Suisse SA.


Please be aware that there are dubious platforms and agencies to be found on the Internet, offering special rates and rooms which may not exist. Therefore IOF strongly recommends that you book via the Official Housing Bureau (MCI Suisse SA) which guarantees you safety, respectability and fair conditions.
